Policies

Activating Your Account:

If this is your first time logging-in to this site there will be a delay in your ability to book rooms as we (Studio & Exhibitions Team) have to manually activate each of your accounts. You will see an error message that reads:

'You do not have permission to see any of the booking wizards. Please speak to a member of staff' 

this is normal and will be resolved once your account is active.

Please allow 2-3 days for your account to become fully activated.

Summary of Bookable Space Policies:

By booking a room I understand that...

- Keys must be returned immediately after my booking ends 
- I am liable for a fine if the key is not returned on time or lost 
- The space used must be returned to its original condition before the end of my booking 
- I am responsible for any items left unattended in the space  
- I must cancel any bookings that I won’t be using so that spaces are available for other students to book 
- The use of any naked flames in the Seminar Rooms & Project Spaces is strictly prohibited 
 

All bookable rooms become unavailable during the summer term in order to transform them into exhibition spaces. This usually takes place the second week of the summer term.

New Cross Seminar Rooms & Project Spaces:

Seminar Rooms can be booked by students when they are not in use for teaching for personal projects, testing new works, self-led crits etc. There are also 2 additional Project Spaces (BPB 4-05 & B 007.1) solely for undergraduate students to book out. 
 
Seminar Rooms & Project Spaces can be booked up to 2 weeks in advance, for up to 3 consecutive days.  
 
Seminar Rooms & Project Spaces must be returned to their original condition before the end of your booking, this includes removing all work, litter, removing any wall fixings (screws, nails etc) and repairing/repainting walls if necessary — Please include any additional deinstall time when selecting your booking period.  
 
Dimensions, images & a list of AV Equipment for each room are listed in the Bookable Space Guide.

Collecting & Returning Keys:

Each New Cross Seminar Room & Project Space requires a key which must be booked alongside your room booking.  
Keys can be collected & returned from the Studio & Exhibitions Office during normal opening hours: Mon–Fri 10:00–12:00 & 14:00–16:00.  
 
Keys can be returned outside of office hours via the RED KEY BOX outside of the Studio & Exhibitions Office. 
 
If your booking takes place over the weekend, then you must add additional time to your key booking so that you are able to collect the key before 16:00 on Fridays.  
 
Anyone booking out a key must ensure it is returned by the end of their booking. No exceptions. 
A £25 fine is payable if keys are not returned to the Studio & Exhibitions Office at the end of the booking. This fine will increase by a further £5 per day for each day the key is not returned.  
 
Passing keys to another student is prohibited and will not exempt you from being liable for any fine. 
 
The system of fines has been put in place to ensure that the rooms are fully utilised and available for others to use after you. If your plans change and you no longer require a room you have booked, please cancel the booking.

Bookable Exhibition Space: 
  
The Bookable Exhibition Space (Laurie Grove Baths - Small Pool Booth 1) is designed for undergraduate students to put on internal facing exhibitions and other longer form projects.  

The space can be booked up to 3 months in advance for up to 7 consecutive days.  
 
As this space cannot be locked, please do not leave valuable items unattended. 
 
Note: This space cannot be used for public events as it would compromise the security of the studios.

Cancelling Bookings:

If you no longer require your booking, please cancel it to allow others to book the space.  
This can be done via the website by logging back in and selecting "Active Booking" near the top of the page. From the next page you will see the bookings and can click on the booking reference (e.g. Con123456) and then delete the booking. Please note that this can only be done before the booking has started.
